Job Summary

Provides support to employees or groups in the organization. Uses business software applications (e.g., email, Microsoft CE/CRM) to prepare correspondence, onboard customers, and vendors, etc. Provides timely responses to customer inquiries by telephone and/or email, consistent with service and quality standards. Troubleshoots and resolves customer concerns.

Essential Duties

  • Provides overall administrative support for the team.
  • Files and retrieves documents, records, and reports. Processes documents to update and maintain files and records; i.e. account information, contact information, etc.
  • Greets customers in a professional, friendly, hospitable manner. Answers electronic communications and phone calls, and directs calls to appropriate parties. Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Composes and formats routine correspondence, utilizing existing customer/vendor correspondence templates
  • Ensures accounts and contact information is accurate and up to date per correspondence with customers and vendors, and gathers information from additional resources (e.g. Customer website, internal sales team, operations team).
  • Prepares and codes invoices, completes expenses reports, letters and other documents using word processing, spreadsheet, database, or presentation software. Assist with petty cash activity. Completes expense report preparation.
  • Responsible for the function of onboarding customers and vendors and providing all necessary information to internal and external customers as requested

Minimum Requirements

High School Diploma or equivalent.

2-5 years

Must have demonstrated proficiency with Microsoft Suite such as Outlook, Word, Excel
